This new Research Ethics System, an Oxford implementation of Worktribe Ethics, supports the preparation, submission and review of applications to the University’s Research Ethics Committees, whilst also bringing the University into line with the digitalisation of the sector.
In early July 2024, a phased rollout began to introduce the new system, which both improves administration and provides transparency for review pathways. The system is now available in all departments and from 7 November 2024 – all new applications will need to be made via this online system.
The first adopter of Worktribe Ethics was the Department of Education, and Irina Lepadatu, Research Manager, shares her thoughts:
The new system, Worktribe, has streamlined the approval process for ethics applications and significantly optimized our workflow. Its intuitive and user-friendly design makes it easier for everyone to navigate the application process. This has notably reduced the time applicants spend on the procedural tasks related to creating and submitting ethics applications.
The digital workflow replaces the previous offline/email process. A dynamic form is generated in response to initial questions, ensuring that the questions asked are relevant for the project proposed.
Stephen Conway, Executive Director, Research Services, said:
We are delighted with how well the roll out of Worktribe Ethics has been received. I am grateful for the hard work and collaboration by colleagues in Research Services, IT Services and departments, both in preparing for the transition to the new system and its implementation.
Introducing the Worktribe Ethics module has been a significant first step in transforming our digital services across the research lifecycle and improving the experience of researchers and professional services staff. Through the new Oxford Research Management System programme, we are planning for further exciting developments.
Introducing this system brings many benefits for researchers and those submitting ethics applications, as well as for those who are responsible for administering and providing ethics review.
Charlie Brassley, Research Ethics Administrator, Social Sciences & Humanities Interdivisional Research Ethics Committee, says:
There are a number of things we used to do manually which Worktribe Ethics will automate, such as approval letters, and archiving application documents. This gives us more time to review the applications themselves and that's good news for researchers, as well as the Research Ethics Committees!
To complete an ethics application, please access the new Research Ethics System (Worktribe). The system is intuitive and easy to use, however, an Applicant Guide is available, and should there be any further support required please get in touch via email to worktribe-ethics@it.ox.ac.uk.
