Wellcome Trust (Grant Tracker)

Grant applications to the Wellcome Trust must be submitted by their online grant application system (WT Grant Tracker). It allows applicants to create and edit grant applications for most major schemes.

Grant applications can be routed for review and institutional approval by Research Services. Applications must be received by Research Services 5 working days before the deadline.

Please note that Research Services cannot submit applications after 5pm regardless of the deadline set by the funder.

How to apply for funding

The principal investigator (PI) must register with WT Grant Tracker to create a user account. This is created instantly and does not require institutional approval.
 

The lead applicant must create the application. To create a new application form go to new grant application on the homepage and click apply to create a new application. Co-investigators and other participants can be added to an application to enable them to edit.

The PI needs to enter the departmental finance officer/administrator as a delegate. Please talk to your departmental finance officer/administrator about creating an X5 costing.

The PI needs to enter the University of Oxford as the authorised organisational approver.

The completed application must be submitted to Research Services for institutional approval 5 working days before the deadline.

Research Services will review the application and send it back to the PI for amendments if necessary. Once the changes have been agreed the application can be resubmitted to Research Services as before.

NB: Research Services does not review grant applications under £100k or fellowships under £1 million unless requested by the department. See the application process overview for further details.
 

Research Services will arrange for an authorised approver to submit the application to the Wellcome Trust.

Preliminary applications

Please note that preliminary or outline applications are not routed via Research Services on WT Grant Tracker and go straight to the Wellcome Trust. The outline application must be fully approved before the PI submits the preliminary application on WT Grant Tracker.

All preliminary applications require departmental approval and a PDF of the completed application will need to be provided to the department before submission.

For applications that need Research Services' review a PDF of the completed application and X5 outline costing will need to be provided to Research Services before submission. Research Services will then advise the PI when the application can be submitted on WT Grant Tracker to the Wellcome Trust. The completed application must be submitted to Research Services for institutional approval 5 working days before the deadline.
